Position Summary

The Utility Administrative Associate will be responsible for supporting the Utility team’s efforts to successfully onboard, offboard, and support properties.

Responsibilities

To perform this job successfully, an individual must be able to perform the following satisfactorily; other duties may be assigned. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

 

• Responsible for all manual utility transfers that the utility billing company cannot complete. This includes calling utility providers to provide required information and complete transfers, contacting providers about any utility disconnections when necessary, and keeping stakeholders informed of progress.
• Responsible for all manual utility uploads to software systems upon transition (when needed).
• Attend takeover calls/post transition calls where necessary and provide a status update to the assigned Utility Team member.
• Assist with Redline communications between Utilities/Corporate Services/Utility Billing Provider.
• Support Zendesk ticket response and resolve assigned tickets.
• Assist with entering documents containing client signatures into the Zendesk ticketing system.
• Assist with Telecom duties where needed.
• Prepare and review reporting for leadership.
• Support regulatory lease audits as necessary.
• Assist with utilities tasks as needed.

Education and Experience

• High school diploma or equivalent
• Prior experience with administrative support in a professional setting is preferred.

• Ability to learn new systems and programs.
• Ability to maintain accuracy and thoroughness in completing tasks by consistently applying attention to detail in reviewing data, documents, and processes.
• Ability to work under pressure in a fast-paced environment.
• Ability to prioritize and multitask.
• Ability to complete repetitive tasks without losing focus.
• Ability to collaborate with other team members.

Compensation

Physical Requirements:

• May be required to sit for extended periods of time
• May occasionally be required to lift or carry items such as files or office supplies weighing up to 15 pounds
• Must be able to operate a computer, keyboard, mouse, and other office equipment
• Must be able to read documents, computer screens, and data
• Must be able to hear and understand verbal communications in person and over the phone or computer

 

Work Environment:

• This is a hybrid role, requiring the associate to work in one of our corporate or regional offices three or four days per week based on managers’ discretion.
• The office is an open setting which may include bright lights, constant noise, and distractions.
