Position Summary

The Human Resources Operations Associate provides foundational support for the HR department by managing day-to-day administrative workflows across the employee lifecycle. This role ensures data integrity within our HRIS/ATS platforms, coordinates smooth onboarding and offboarding processes, and acts as a reliable first point of contact for employee inquiries.

Responsibilities

  • Manages and supports company-wide HR administrative workflows within UKG, ICIMS, and other platforms
  • Monitors HR Zendesk ticketing system and responds to associate questions or assigns to correct team members
  • Creates, edits, and maintains associate records in UKG and other HR platforms, including but not limited to offer letters, background screens, manager access, logins, job changes, takeovers or dispositions, supervisor changes, and approvals for salary changes and internal movement
  • Creates and maintains all job titles, codes, and job descriptions across the company, with understanding of roles, and minimum qualifications necessary for positions, in compliance with internal/external business requirements
  • Performs audits of associate data to ensure accuracy and integrity; creates reports/presentations; disseminates data with internal stakeholders
  • Creates forms, content, and resources as needed for HR programs and processes
  • Monitors and updates HR content on the Company’s associate communication platform to ensure information is accurate at all times
  • Research best practices to assist with developing HR programs, partnering with other departments to support efficient, compliant, and accurate execution of core HR processes
  • Assists with general HR needs such as recruiting support, onboarding, payroll, benefits, and services as backup for other HR operations associate(s)
  • Administers pre-employment processes; supports I-9 and E-Verify in partnership with HR Managers, Talent Acquisitions, and Hiring Managers
  • Supports HR legal and compliance requirements, including unemployment, personnel files, labor law and E-Verify posters

Education and Experience

  • Bachelor's degree in human resources or related fields. Experience may substitute for education.
  • One year of related experience and training.
  • Experience with UKG or similar HRIS preferred.
  • Knowledge of HR principles, labor laws and regulations
  • Skilled with technology, including Microsoft Teams, Excel, PowerPoint, and Word
  • Skilled in organizational and time management, project management, and customer service
  • Ability to adjust to multiple demands and priorities
  • Ability to prioritize, multi-task, take initiative, and problem-solve while maintaining attention to detail
  • Ability to communicate verbally and in writing

Qualifications

Physical Requirements:

  • May be required to sit or stand for extended periods of time
  • Must be able to read documents, computer screens and data
  • Must be able to hear and understand verbal communications in person and over the phone or computer
  • May occasionally be required to lift or carry items such as files or office supplies weighing up to 20 pounds
  • Must be able to operate a computer, keyboard, mouse and other office equipment

Work Environment:

  • This is a hybrid role, requiring the associate to work in our Austin corporate office 3 days per week
  • The office is an open setting which may include bright lights, constant noises and distractions
