Position Summary

The Corporate Billing Administrator will be responsible for supporting the monthly billbacks and accounts receivable functions within the Corporate Accounting Department. This role focuses on accurate preparation, processing, reconciliation, and support of billings, as well as assisting with the administration of corporate expense and travel platforms. Attention to detail, strong organizational skills and ability to effectively communicate with internal departments will be essential for success in this position.

Responsibilities

• Prepare, process, and issue accurate and timely billback invoices
• Support the billback accounting process by ensuring proper documentation and calculations
• Assist with accounts receivable activities, including invoice tracking and reconciliations
• Work billback tickets and requests through the ticketing system
• Assist with identifying billing errors or inconsistencies and escalate as needed
• Maintain policies and procedures related to billbacks and accounts receivable to ensure compliance within RPM's policies.
• Assist with the administration of the T&E platform, including user support, expense review, and policy compliance
• Provide administrative, reporting, and operational support to the Corporate Billings Manager

Education and Experience

• One to three years of experience in billing, accounting, accounts receivable, or expense administration preferred
• Associate’s or Bachelor’s degree in accounting, finance, or a related field preferred (relevant experience may substitute for education)

• Strong attention to detail and organizational skills
• Ability to communicate effectively both verbally and in writing
• Ability to manage multiple tasks, prioritize workload, and meet deadlines
• Ability to work independently and collaboratively in a team environment
• Knowledge of basic accounting related to billing and collections (preferred)
• Experience in Workday Financials, Zendesk, Yardi, and Navan (preferred)
• Knowledge of billing, expense management, and accounts receivable processes (preferred)

Qualifications

Physical Requirements:

  • May be required to sit or stand for extended periods of time
  • Must be able to read documents, computer screens and data
  • Must be able to hear and understand verbal communications in person and over the phone or computer
  • May occasionally be required to lift or carry items such as files or office supplies weighing up to 15 pounds
  • Must be able to operate a computer, keyboard, mouse and other office equipment

Work Environment:

  • This is a hybrid role, requiring the associate to work in our Austin office 3 or 4 days per week based on manager's discretion
  • The office is an open setting which may include bright lights, constant noises and distractions
