Position Summary

The Benefits Manager is responsible for the administration and day-to-day operations of employee benefit programs, including health and welfare plans, retirement, wellness, and leave of absence programs. This role ensures that benefit offerings are delivered accurately, align with regulatory requirements, and support the employee experience. The Manager works closely with HR, Payroll, and third-party vendors to support benefit communications, compliance, and process efficiency.

 

Responsibilities

  • Oversee the daily operations for benefit plans including medical, dental, vision, life insurance, disability, FSA/HSA, 401(k), wellness, and leave programs (e.g., FMLA, ADA)
  • Serve as a resource for employee benefit questions; research and resolve issues in a timely and accurate manner
  • Coordinate with benefit vendors, brokers, and third-party administrators to support plan administration, annual renewals, open enrollment, and ongoing service delivery.
  • Ensure compliance with benefit-related laws and regulations such as ERISA, ACA, HIPAA, COBRA, and FMLA; maintain plan documentation and lead audits and required filings (e.g., Form 5500)
  • Oversee third-party leave administrator to monitor leave of absence cases and ensure accurate documentation, status updates, and employee communication
  • Support benefit-related communications, including open enrollment materials, onboarding resources, and employee education initiatives
  • Audit HRIS and benefits platforms to verify the accuracy of enrollments, deductions, and eligibility; generate routine and ad hoc reports for HR and Finance
  • Recommend process improvements and participate in projects to enhance the efficiency and effectiveness of benefit programs and systems
  • Supervise and develop benefits staff, providing day-to-day guidance, performance management, and professional development opportunities

Education and Experience

  • Bachelor’s degree in Human Resources, Business Administration, or a related field. Experience may substitute for education
  • Five years of experience in benefits administration
  • One year experience in a leadership role
  • Certified Employee Benefits Specialist (CEBS) – preferred
  • Knowledge of employee benefit plans including health, dental, vision, retirement, and leave administration
  • Knowledge of applicable laws and regulations (ACA, ERISA, FMLA, COBRA, HIPAA)
  • Knowledge of benefits administration systems and HRIS platforms (e.g., Workday, UKG, ADP)
  • Skilled in organizing tasks, managing competing priorities, and meeting deadlines
  • Skilled in using Excel and data tools for reporting, auditing, and reconciliation
  • Skilled in vendor coordination and issue resolution
  • Ability to communicate clearly and effectively, both verbally and in writing
  • Ability to maintain confidentiality and exercise sound judgment with sensitive information
  • Ability to apply benefits policies and regulatory knowledge to practical situations
  • Ability to work collaboratively across HR, Payroll, and other internal departments.

Qualifications

Physical Requirements:

  • May be required to sit or stand for extended periods of time
  • Must be able to read documents, computer screens and data
  • Must be able to hear and understand verbal communications in person and over the phone or computer
  • May occasionally be required to lift or carry items such as files or office supplies weighing up to 15 pounds
  • Must be able to operate a computer, keyboard, mouse and other office equipment

Work Environment:

  • This is a hybrid role, requiring the associate to work in one of our corporate offices three or four days per week based on managers’ discretion.
  • The office is an open setting which may include bright lights, constant noises and distractions
